Title Company Agency LLC, doing business as Closed By Whom, is a Florida-licensed title insurance agency (FL License W774471, ALTA #1243953, Firm G187178). Our principal offices are in Naples and Coral Gables, Florida. References to “we,” “us,” or “our” in this policy mean Title Company Agency LLC.
Information we collect
We collect information you provide to us directly when you open an order, contact us, sign up as an agent partner, or use the client portal. This may include:
- Your name, email, phone number, and mailing address;
- Property information including address, parcel ID, and purchase price;
- Information about other parties to the transaction (buyer, seller, lender, agents);
- Government-issued identification at the time of closing;
- Financial information needed to settle the transaction (wire instructions, payoff statements);
- Documents you upload to the client portal.
We also collect limited technical information when you visit this site — browser type, IP address, pages viewed — through standard server logs and privacy-respecting analytics. We do not sell this information.
How we use information
We use the information you provide to: (a) prepare and issue title commitments and title insurance policies; (b) conduct title searches and curative work; (c) hold funds in escrow; (d) record deeds and other instruments with the appropriate Florida county; (e) communicate with you and other parties to the transaction; and (f) comply with applicable laws and regulations including those imposed by the Florida Office of Insurance Regulation.
How we share information
We share your information only as needed to complete the transaction or as required by law. This includes sharing with our underwriter (First American Title Insurance Company), counties recording your deed, lenders involved in your closing, and software vendors that we have engaged to handle parts of our operations under contractual obligations of confidentiality.
We do not sell your personal information.
Wire fraud protection
Wire fraud in real estate is real and active. We will never email you a change of wire instructions. If you receive an email from anyone claiming wire instructions have changed, do not act on it — call us directly at +1 (305) 988-9666 to verify.
How long we keep information
We retain transaction records for seven years following the close of the file, as required by Florida title-agency record retention rules. Some records (e.g., escrow accounting) may be retained longer where required by law.
Your rights
